Closing a Follow-up
Ending the video call does not close the file. The follow-up stays open so you can keep chatting, share a report, or schedule the next appointment.
Close it once you are done with the beneficiary.
Export before you close
Click Export PDF on the follow-up page to download the file: the details, the appointments and the chat history. Do it before the retention delay expires — once the follow-up is deleted, nothing can be recovered.
Close the follow-up
- Open the follow-up
- Click Close Follow-up
- Confirm
The file becomes read-only, moves to the Closed tab, and disappears from the To handle list.
If your administrator configured automatic deletion, the confirmation dialog tells you how long the file is kept — It will be automatically deleted after X hour(s). The countdown starts when you close the file, not when the call ends.
Deletion is permanent
Once the delay has elapsed, the follow-up, its messages, its attachments and the temporary guests attached to it are removed for good. Export the PDF and save any document you need in your own records first.
Reopen a follow-up
As long as it has not been deleted, a closed follow-up can be reopened from its page with Reopen Follow-up. The chat and the appointments become available again, and the deletion countdown stops.
Automatic closing
Some follow-ups close on their own:
- follow-ups created automatically to carry the chat of a standalone appointment close a while after the join window ends
- temporary guest accounts with no upcoming appointment are removed automatically, when your administrator enabled that option
Files you created by hand are never closed automatically — that decision is yours.
